1. Purpose
This Emergency Preparedness Plan ensures the safety and protection of all children and staff at BeKidz Educational Center in the event of an emergency or disaster. The plan outlines procedures for shelter-in-place, lockdown, evacuation, relocation, communication, and reporting.
2. Goals
- Protect the lives and safety of all children and staff.
- Establish clear communication and leadership roles during emergencies.
- Minimize confusion and ensure quick, organized response
- Provide comfort and reunification with parents/guardians as soon as safely possible.
3. Emergency Roles and Responsibilities

4. Emergency Procedures
A. Shelter-in-Place (Severe Weather or Environmental Hazard)
- Director announces “Shelter-in-Place” over the intercom or verbally.
- Children and staff move calmly to the designated safe areas (interior hallways or bathrooms with no windows).
- Teachers bring attendance sheets, first aid kit, and emergency backpack.
- Close all doors, windows, and blinds. Turn off lights.
- Remain in shelter area until the “all clear” is given by the Director or emergency authorities.

B. Lockdown (Intruder or Threat in Vicinity)
- Director or staff member announces “Lockdown” using code or plain language.
- Staff immediately lock all doors, close blinds, turn off lights, and keep children quiet and away from windows and doors.
- Do not open the door for anyone until law enforcement or the Director gives the all-clear.
- Teachers maintain attendance and reassure children quietly.
- Director communicates with law enforcement and emergency responders.
C. Evacuation (Fire, Gas Leak, or Structural Damage)
- Fire alarm or evacuation order will be given.
- Teachers lead children in a calm, single-file line to the designated assembly area, bringing their attendance sheet and emergency backpack.
- Support staff check bathrooms, hallways, and classrooms for stragglers.
- Director takes attendance reports from teachers and ensures all are accounted for.

D. Relocation (If the facility is unsafe for return)

- Director arranges transportation.
- Parents are notified immediately via phone, text, and email.
- A notice will be posted on the BeKidz entrance and website (bekidz.org).
- Children will remain supervised by staff until released to a parent or authorized guardian.
5. Communication and Reporting
- The Director will contact 911 for any life-threatening emergency.
- Notify Oklahoma Department of Human Services (DHS) if the facility is evacuated or a child is injured
- Parent/Guardian notification will occur by text, email, or phone as soon as safety permits.
- Staff must complete an Incident/Accident Report for any injury, damage, or emergency action.
- The Director maintains copies of all emergency reports for state compliance.
6. Emergency Supplies
Each classroom emergency kit will include:
- Class roster and parent contact list
- First aid kit
- Bottled water and snacks
- Flashlight with batteries
- Wet wipes and tissues
- Blanket
- Emergency whistle
- Emergency contact cards
7. Drills
To ensure readiness:
- Fire drills — monthly
- Tornado/Shelter-in-Place drills — monthly (during season)
- Lockdown drills — quarterly
- Evacuation and relocation drills — semi-annually
Records of all drills will be maintained for DHS inspection.
8. Reunification Plan
- Parents/guardians will be notified of the location for pickup.
- Staff will release children only to authorized individuals listed on the child’s enrollment form.
- Identification will be required for all pick-ups.
9. Plan Review and Training
- This plan is reviewed annually by the Director and staff.
- All new employees receive training on emergency procedures within 30 days of hire.
Updates are made as needed based on new state regulations or facility changes.
